Please state you meet these requirements on your application.The Purchase to Pay Governance Team consists of up to 11 members of staff, 5 of which (1 manager and 4 prompt payment officers) are responsible for the prompt payment of suppliers portfolio. As well as prompt payment responsibilities, the Purchase to Pay Governance Team has two other main desks – the corporate purchasing system and the electronic Purchasing Card (used to buy low-value purchases)The Scottish Government is committed to pay its suppliers for the goods and services it receives within ten working days. You will be part of the team - Purchase to Pay Governance Team – who help meet this commitment. This involves helping to resolve invoice errors in order to ensure that the supplier can be paid on time. You will be in regular contact with internal business areas and external organisations, including suppliers to resolve errors. You will use the SG’s finance and purchasing IT systems to support your daily tasks. What might a typical day in this job look like?• Ensure that all invoices that contain errors/issues are dealt with in order of the team's priorities. • Build effective relationships with local contacts, to improve business relationships.• Provide advice to local contacts within business areas, to resolve invoice discrepancies and avoid recurring issues.• Contribute to and offer new ideas for improving business activities, particularly current procedures, processes and desk instructions.• Provide support to managers, including the invoice / issue that require escalation/intervention.• Support other projects/ad-hoc exercises that may need progressed.Contribute to management reports and daily statistical requirements What will I learn?This will be a good opportunity to learn a variety of admin skills including dealing with all invoices that contain errors/issues, dealing with incoming and outgoing mail etc. Also you will have the opportunity to improve your communication and sound listening skills as you will be answering phone calls and providing advice to local contacts within business areas.Training will be provided. What qualifications or qualities are required?1. Determination and commitment to achieve set outcomes of the apprenticeship, including passing SVQ 2 in Business Administration 2. Sound IT skills, especially in the use of Microsoft Office products Word and Excel, including the production of spread sheets3.
