Becoming an Administrator with Capita Real Estate & Infrastructure:We are looking for an Administrator to join our small legal team with Capita Real Estate & Infrastructure in Bristol. You will be responsible for assisting the team, tracking contract progression, using our internal systems and liaising with clients and other teams.About the job:You will provide administration support to the Real Estate and Infrastructure business of Capita, primarily as part of a busy legal team based in central Bristol. This role will involve interaction with the wider Public Service Partnership community including other legal functions and the commercial network across a number of key Capita contracts. You will be organised, a clear communicator and willing to take on a variety of roles to suit the business as it evolves.To be more specific your role will focus on three key areas coordinating the team, data management/record keeping and document creation & internal system use. The details of which are listed below. You will be kept busy but will only be expected to work the hours that you are contracted to. We believe in working smart with a good work life balance so a person who proactive, process driven and experienced as a personal assistant, project coordinator or administrator would suit the vacancy well. What you will do:Coordinate Coordination of the contract execution process to ensure timely execution and delivery of contracts.Attend meetings and taking minutes as and when required.Liaise with project managers and clients to ensure timely delivery of contracts.Providing general administrative support to a small team of Solicitors.Book transport and accommodation for Solicitors as and when required.Some PA duties for the Head of Legal and Legal DirectorData Management/record keeping Contract database managementKeeping a record of all contracts which have been fully executed and liaising with project managers if a completed contract has not been returned to Legal.Keep a record of material contracts for audit purposes.Maintaining accurate records, spreadsheets and databases of the contract execution process and ensuring accurate manual /computerised records are maintained on the systemUpdate and keep records of Directors able to sign for Capita and other entities.Coordinating the storing and archiving of completed contract documents.System use and document creation Applying Directors Digital Signatures to PDF Contracts as and when required, ensuring all documentation is filed for audit trail.Upload all material contracts onto Swordfish.Proof reading and checking of legal documents.Your experience will include:You will be an experienced AdministratorAdministrative legal experience such as work as a practice admin or personal assistant would be a plus but is not essentialExcellent working understanding of Microsoft Office applications About Capita Real Estate & InfrastructureAt Capita Real Estate & Infrastructure, we work with public and private sector organisations to design, build and optimise their property and infrastructure assets.
