Job descriptionCefas is looking to appoint someone to provide support on all aspects of contract administration; advising & assisting Project Managers with contract set up and management throughout the contract lifetime to ensure the smooth running of projects. This opportunity is ideally suited to a motivated, pro-active and highly organised individual with a strong administrative and customer-focussed background, who wishes to expand their existing skills and build their knowledge of bid management. The primary focus of this role is to support Portfolios when tendering for new business opportunities. Based in the Contract Support Team, you will act as the primary contact for the Overseas portfolio (also providing support to others where appropriate), working alongside Project Managers as an integral part of the bid team to ensure bids of a high quality are submitted to submission deadlines. Responsibilities and duties are likely to include (not limited to):• Prepare and submit quotations, tenders & PQQs with the support of the Project Manager ensuring all Cefas bid documentation is compiled and approved at the correct stages of the process; • Manage the contract administration for the Overseas portfolio of projects – populating IT systems with financial information, maintaining accurate document and record control, liaising on legal terms and conditions with the commercial team, and assisting the Bid/Project Manager with Cefas’ project management processes; • Preparation of supporting information as specified by the customer i.e. producing cost statements, financial reports and receipts; • Resolve queries from Project Managers and handle any requests/queries from customers; • Management of the Overseas invoice schedule and attendance at bad debt meetings • Assist with the writing of any variations to contracts and ensure signoff by customer. Person specificationPlease demonstrate how your previous experience and skills will enable you to meet the requirements of the job description.QualificationsAcademic qualifications required for this Payband 4 post is a degree or an equivalent qualification.
