Examinations works closely with the Enrolment Centres and SDS team, all of which share the same Management Information System and act as business support to all Curriculum School areas across the College. You will be working as part of a team responsible for the timely and accurate processing of student related data. The information to be processed will include; examination entries, achievement data, enrolment data, attendance data and withdrawal information. The information collected is used in returns to the College's funding bodies.Directorate: Innovation and Enterprise Section/Department/Team: ExaminationsLocation: Booth LaneScale of Post: BUS 4Responsible to: Examinations Manager Responsible for (staff): N/AHours of work: 37 hours Mon - Thurs 07.30 - 16.00Fri 07.30 - 15.00Job purposeThe Examinations Administrator (Day-time) is one of two equal posts which have a primary role in assisting the Examinations Manager in managing the processes for entry to, sitting of and dissemination of results for examinations within the college and in maintaining systems for the collection and monitoring of learner achievement data. Duties and responsibilitiesSpecific To take responsibility for specific curriculum areas in relation to examination administration. To develop effective liaison and co-ordination with specific Schools by establishing regular meetings at which future developments can be discussed, guidance on Awarding Body requirements given and procedures and deadlines agreed. To communicate examination entry details to the Exams Manager to support the effective timetabling of examinations. Administration of scheduled examinations including but not limited to the final preparation and cross-check of examination materials for exams, including access arrangement information, erratum notices, papers, registers, desk-cards and invigilator packs ensuring deadlines are met. Administration of concluded examinations when required including but not limited to the collating of scripts, cross-checking to registers and seating plans, using the appropriate dispatch materials (as per the Awarding Body guidelines) and identifying appropriate courier / postage service to specified recipient ensuring deadlines are met. To assist the Examinations Manager and Senior Examinations Officer in the running of examinations, providing support to invigilators. To collaboratively work with the College ICT team to resolve any issues with on-line examinations. To take responsibility for the accurate preparation and input of student data into the College Information System in accordance with internal and external deadlines. To assist in validation and reconciliation exercises to ensure the integrity of the data held. To support the College funding returns, by ensuring all achievement data (results) is claimed with the Awarding Bodies and subsequent result information timely processed on the College MI system. To support the Examinations Manager with the administration of 'College results days'. To provide a customer service to students and liaise with the Examinations Manger with regarding 'enquiries about results'. To develop and maintain computer systems for the recording of registrations, entries and results in compliance with standards set by the Awarding Bodies. To contribute to the development and maintenance of effective computer and paper based systems such that there is an efficient exchange between other departments in the ILS Directorate and Schools. To provide an excellent service to learners, Schools and Business support areas with respect to registration, examination and achievement enquiries whether received by telephone, personal caller or email and when required produce simple reports whilst remaining within the confines of the Data Protection Act. To work flexibly and efficiently as part of a team providing high standards of clerical and customer service. To support and contribute to the examination centres objectives, service standards and self-assessment action plans. You will be expected to adopt a flexible approach to ensure the efficient and effective running of departments.Hours of Duty: 37 hours per weekMonday - Thursday 07.30 - 16.00Friday 07.30 - 15.00Salary: In the range of £18,635 - £20,678 per annum Depending on skills, experience and qualificationsHolidays: Holiday entitlement will be 35 days per holiday year (1 September - 31 August), including 8 bank holidays and 3 closure days.
