JOB TITLE:                   Executive Secretary  Responsible to:            Managing Director  Function:                     Managing travel arrangements both locally & internationally, liaison internally with senior executives and externally with strategic clients to manage busy diary planning including day to day interactions with staff to support with administrative duties. Position requires upmost integrity and confidentiality The ideal candidate must be experienced professional who us highly motivated, extremely well organized with strong time management skills. Flexibility and a high attention to detail will be needed.                                     DUTIES AND RESPONSIBILITIES Booking travel, hotels, car hire for the Managing Director (MD) and other staff as required Booking hotel and travel for other Executives within BV Arranging Business Visas for MD and other staff as required Attending Management Meetings as a member of the Team and also preparing the notes for distribution in timely manner Sending the MD weekly schedule to Mark Agius (Regional Vice President) PA Preparing the weekly schedule for MD staff and distributing accordingly Setting up Conference Calls for the MD ensuring both parties know a time and detailed schedule is prepared. Setting up new employees in Time Management System and issuing them with Fobs for TMS System Finance and General Administration support for the different departments, switchboard, invoicing, etc. as required Control of Stationery items, ensuring of sufficient stock  Checking CCE expenses and submitting them for approval ensuring they have been submitted in a timely manner  Checking other members of Sales & Business Development team expenses and submitting for approval Checking Mail and distributing accordingly Control of Conference Room Diary Managing bookings and liaising with all people involved, Also managing the orders for meetings, Seminars when requested and ensuring food may be ordered if needed. Arranging Lab Overalls for new members of staff and ensuring they have the right size and contacting teams for updates on new starters. Distributing Journals to BV Senior Executives when received Proof reading documents when requested  Essential Skills and attributes required Excellent and varied communication skills High attention to detail with excellent organisational skillsAdministration, for note taking, report writing and keeping track of multiple tasks at once.I.T., for interacting with call handling technology, databases and other computer software, plus the ability to adapt quickly to new systems.  View full job description
