JOB  PURPOSE To assist the Finance Manager in the management of finance and resource services to the charity and assist in the management of financial risk across the charity.  3. COMMUNICATION AND WORKING RELATIONSHIPS   Students, external contractors, HMRC, accountants, banks, regular and visiting tutors, models, visitors, volunteers, course members and other team members. Local community. 4. PERSON  SPECIFICATIONTo identify the necessary qualifications, experience, practical and intellectual skills, training and any additional requirements, needed to undertake the role.Essential Desirable Good standard of basic education – 4 GCSE’s including Maths and English or equivalent.Experience of working in a financial and administrative role.Highly motivated, able to work unsupervised and on own initiative. Excellent time management and organisational skills for self and others.Ability to prioritise tasks and work effectively under pressure and to tight deadlines.Experience of working in a busy office.Ability to work as part of a creative team.Good written and verbal communication and reporting skills.Excellent IT skills, including working with databases and able to competently use Word & Outlook packages (Excel)Good problem solving skills.  Bookkeeping and finance experience.Experience of using Quickbooks software (although training will be given)Qualification in accounting or bookkeeping.Experience of handling financial records for mixed income organisations including earned, grant and donor income.Experience of ensuring compliance with outside agencies including Charity Commission, Companies House and HMRC.ECDL or Excel qualification or equivalent   .7. KEY  RESULT AREAS Assist the Finance Manager to ensure that payments and purchase orders are accurately processed/input using the financial system.Assist the Finance Manager to ensure that expenditure is properly approved, recorded and managed in line with agreed budgets and the Charity’s policies.Assist the Finance Manager in the processing of data in Quickbooks and liaise with the Marketing and Development Manager to work with the CRM system.Undertake various quality control and audit exercises at the direction of the Finance Manager.Ensure the timely production of papers, reports and minutes as required to ensure a high performing finance function including assisting the Finance Manager in production of the annual budget.Assist the Finance Manager in producing reports for trustees, management and funders to enable monitoring of financial performance against the budget.Assist in the production of accounts to enable the Finance Working Group to fulfill its reporting remit.Work with staff to ensure adequate internal controls are implemented to minimise risk of waste or fraud.Assist the Finance Manager in ensuring that all paperwork required by the organisation and external bodies is completed accurately and on time to ensure contractual obligations are met.Assist the Finance Manager to ensure appropriate processes are in place to ensure long term viability of the charity.To contribute in the development and implementation of new administrative processes and control systems.  Assist the Finance Manager to ensure that strong processes are in place for resource allocation and performance monitoring at all levels of the charity.Assist the Finance Manager in ensuring that the charity is aware of its accountability to its stakeholders and all relationships are managed, monitored and considered in the development of the charity.Provide external interface with banks, auditors, accountants, pension vendors, charity finance specialists, HMRC.Assist the Finance Manager to ensure appropriate risk management techniques and financial controls are embedded throughout the charity.Assist with carrying outFinancial Risk Assessments.Assist the Finance Manager in ensuring that the legal requirements of the Registered Charity and Company Limited by Guarantee are met.Liaise with the Operations Coordinator in relation to pensions, payroll, tax and national insurance.Assist the Finance Manager to manage the filing and storage of all electronic and paper files in line with best data management processes.To deputise for the Finance Manager as required. Undertake any other duties as required to help with the running of the organisation.      9.
