As the Fundraising Database Administrator you will be a key member of the Hospice Fundraising Team working with the fundraising database Donorflex.Ensuring accurate data input, assisting with appeals administration, lottery administration and the preparation of campaigns ensuring all donations are thanked correctly and in a timely manner. Minimum Qualifications / Experience RequiredEducated to GCSE level Grade C above or equivalent.At least one years’ experience of working in a busy office environment.Experience of using databases.Key Working RelationshipsFundraising TeamRetail TeamLocal CommunityFinance TeamVolunteersDuties and Responsibilities:Database Admin Maintain the fundraising database in an accurate and timely way ensuring the systems are updated and current processes are followed.Develop, promote and accurately maintain the administrative systems associated with the Overgate Hospice Lottery to maximise the income potential.Code, input and thank all donations received by the Hospice including donations from the website and other online giving/matched funded sites.Create reports from Donorflex to allow the fundraising team to tailor their mailings and marketing to specific sectors of the community.Support the growth the fundraising database ensuring the highest quality of data is input at all times, championing the use of all the database modules.Process direct debit, card payments and standing order payments.Ensure that all administrative systems within the office are up to date, accurate and adhered to.To be the database “expert” within the fundraising team with regard to coding and be responsible for accuracy including marketing codes. To make fundraisers aware of apparent trends, changes or issues relating to income as appropriate.General Admin1 Manage the flow of income into the hospice, setting and following procedures for processing and thanking all donations.2 Promote Gift Aid and ensure all gift aid standards and procedures are followed. Support submission of gift aid claims in accordance with HMRC law under supervision.3 Ensure all legal framework including charity commission and Institute of Fundraising guidelines are followed in regard to administrative processes.4 Create regular reports for the Head of Fundraising and the fundraisers regarding specific income streams.5 Implement regular stationary stocktakes within the fundraising office and place orders with the wider admin team.6 Collate mailing plans and communicate this and other necessary info to other departments in particular reception/general admin office.7 Ensure reception is fully briefed on all fundraising processes and events so they have the correct information to give to visitors.8 Ensure reception is fully stocked with fundraising leaflets which are coded.9 Frank and post all fundraising post daily.10 To take responsibility for all filing and archiving, maintaining orderly systems for both utilising volunteer support.11 To organise internal meetings, preparing agendas and minutes as requested.12 Produce the yearly on call rota for the fundraising team, monitor, and implement any changes. 13 To work collaboratively with reception regarding donations from members of the public to ensure everyone is thanked appropriately.Fundraising &Marketing Admin1 Develop positive fundraising relationships with supporters; ensuring correspondence is issued in line with Overgate policy. 2 Be the first point of contact for all enquiries in to fundraising and respond to all queries in a positive, professional timely manner.3 Be an active, participative and supportive member of the Fundraising Team to ensure that all aspects of the Hospice fundraising strategy are successfully delivered.4 Post weekly shop envelopes to support communications with our 12 charity shops in Calderdale.5 To act as a contact for all enquiries to the Fundraising Department ensuring that all callers and visitors are dealt with sensitively, receive correct and appropriate information. 6 Support Hospice events and campaigns when required.7 Represent the Hospice to receive funds and donations as required.Safeguarding All Hospice staff are required to act in such a way that at all times safeguards the health and well-being of children and adults at risk.
