In this role you will be responsible for the team administering HR transactions and will work closely with HR Business Partners (HRBP's) in a region, servicing key business stakeholders across multiple countries. Through your team, you will ensure a high quality and consistent HR service is delivered to HR Business Partners (HRBP's), People Managers, Employees, Payroll and third parties in an efficient, timely and customer focused way. You will monitor SLA adherence and process efficiencies in order that you and your team deliver consistently for all of your stakeholders. As Team Leader, you will act as second line of escalation to investigate and provide accurate and timely solutions to queries that cannot be answered by HR Advisors or SMEs.Key accountabilitiesPeople ManagementTo recruit, on-board, train, develop, performance manage and ensure the welfare of the team of Advisors.Developing technical capability within the team to grow local SME supportReporting on your team's service levels, as required and initiating remedial knowledge transfer or training as required to meet the required standardsCustomer RelationshipSupporting significantly different customer groups with differing needs, therefore you will need to build and maintain excellent working relationships with a varied group of HR and business stakeholders.To ensure the timely, accurate and responsive answers to questions from stakeholders raised through 'cases' which are generated through the Customer Relationship Management (CRM) ticketing system or by phone or emailEnsuring integrity and adherence to the global and local processes, co-ordinating end-user training as required. Maintaining How to Guides, policies, templates and matrices to keep documentation aligned with global and local practisesProject managing and allocating resources to operational projects, e.g. re-organisations, liaising with the HRBPs, Global HR Operations team and the appropriate technical support as required.Monitoring approvals and next step activity to optimise data accuracy and to ensure customers complete their actions in a timely and accurate way for due diligence and audit trail purposes.Driving continuous improvement by highlighting efficiencies to improve the effectiveness in the service, through the change control process and project manage, communicate, train and embed their implementation within the regionEnsuring end to end quality delivery, working with stakeholders to deliver a positive experience and ensuring that critical deliverables such as statutory filing, reporting and payroll deadlines are met.Working with HRBPs to move as much HR administration as feasible into the HR operations arena.Conducting monthly payroll reconciliations and reporting findings to the Global HR Operations team, to ensure that data in the HRIS and payroll are aligned and that any remedial action / training is undertaken with stakeholders.Service ManagementDelivering a change programme to drive continuous improvements to the effectiveness and efficiency of the service, through standardisation, elimination and applying Lean 6 sigma or Design Thinking principles to processing. Working collaboratively and at times under the guidance of the Global HR Operations Solution and Continuous Improvement team.Assessing the impact of changes in legal or statutory regulation and ensuring the changes are implemented and documented in the procedural work instructions.Taking a coordinator role in change management, ensuring the systems, processes and documentation are up to date.Taking a leading role in the coordination, delivery and quality assurance of HR events including salary reviews and restructures by working in partnership with COEs, Global HR Operations Team and HRBPs.Enabling transactions to be administered in accordance with the agreed service levels and ensuring that the team strive for improvements and stretching goals year on year.Acting as 2nd level of escalation for the HR Advisors and SMEs, to support problem analysis and resolution.To report data breaches as per the agreed protocol according to the EU GDPRTo grow HRIS Super User ability within the HR Operations team, but also with your Customers within the Cluster.Skills & experienceEssentialWorking knowledge of regional HR legislation and employment / payroll regulations.Proven experience of using an HR information system or other complex management information system.Proven experience of managing a busy, fast-moving HR administration team.Be able to build and maintain excellent working relationships with a wide range of stakeholdersExcellent analytical and problem solving skills.Excellent IT literacy skills, word (including mail merging) and Excel.Excellent communication skills and attention to detail.Fluent in the local language of the cluster.What we offerImperial Tobacco offers a competitive package of salary, bonus scheme, pension and 25 days holiday (with an additional 4 days on top to cover the Christmas period and bank holidays).
