New Dover Road Surgery Job Description JOB TITLE:IT AND FACILITIES COORDINATORREPORTS TO:PRACTICE MANAGER HOURS:25 - 30hours per week Job summary:To provide a basic level of IT support, to liaise with outside support networks, tohave a good working knowledge of health and safety and to assist with the general smooth running of Practice operations Outline of Duties:To provide IT support to the Practice eg fixing printer and computer problems, installing hardware and software etcTo escalate problems to the IT helpdesk where necessary and liaise with them to implement solutionsTo lead in future IT-related developments such as online consultations, the use of tablets and through changes in clinical codingTo provide support to patients wanting to use the Patient Access online systemTo keep the surgery website up-to-dateTo build and amend templates and protocols on our clinical systemTo have an awareness of data protection laws and to support the Practice Manager in ensuring the surgery is compliant with theseTo maintain surgery premises and facilities eg performing minor DIY duties where necessary or liaising with outside contractors to get these doneTo liaise with the cleaning companyTo liaise with the telephone company and report issues when necessaryTo perform regular checks on equipment, maintain records and service, repair or replace equipment where necessaryTo keep the Business Continuity Plan up to dateTo undertake risk assessments, maintain appropriate records and ensure Practice staff are aware of their obligations with regards to Health and Safety; be aware of Health and Safety legislation and standardsTo organise PAT testing when dueTo perform weekly tests on the panic, fire and red pull-cord alarms and to keep a log of these checksTo organise servicing of alarms and CCTV when dueTo maintain the patient check-in screen and waiting room TVTo order stationery and supplies and to monitor incoming stockTo ensure the building is kept tidy throughout the dayTo ensure the noticeboards in waiting areas are kept smart and up-to-dateTo keep a list of key holders and to monitor use of the staff car parkTo keep the car park and outside walkways clear in the event of adverse weather and to prepare for adverse weather accordinglyTo obtain work quotations when requiredTo set up equipment in meeting rooms when requiredTo maintain milk supplies for the staff kitchenTo be a fire warden (training provided if needed) and to organise regular fire drillsTo be responsible for other duties as requested by and agreed with the Practice Manager Skills:Ideally we would like to appoint someone with the following skills/experience:A sound working knowledge of computers including computer servers, Windows 7, printers and other hardwareAdaptable to be able to help install and troubleshoot various types of software including clinical softwareAbility to work on own initiative, confident to make decisions and be self-motivatedAbility to plan and prioritise and manage own workload self-sufficientlyPractical ability to carry out general maintenance tasksUnderstanding of working within a budget and foresight to see where improvements could be made to ensure business is profitable Person specification:Ability to communicate well with management and other members of the teamA team player, someone willing to ‘muck in’, become part of our teamA cheerful and helpful person with a positive attitude and belief in excellent customer serviceSomeone willing to learn and take on new challengesAbility to work flexibly Confidentiality:In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters.   They do so in confidence and have the right to expect that staff will respect their privacy and act appropriatelyIn the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers.  They may also have access to information relating to the practice as a business organisation.  All such information from any source is to be regarded as strictly confidentialInformation relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data Health & safety:The post-holder will implement and lead on a full range of promotion and management their own and others’ health and safety and infection control as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include (but will not be limited to):Using personal security systems within the workplace according to practice guidelinesAwareness of national standards of infection control and cleanliness and regulatory / contractual / professional requirements, and good practice guidelinesManagement and maintenance of Personal Protective Equipment (PPE) for the practice including provision, ordering, availability and ongoing correct usage by staffActive observation of current working practices across the practice in relation to infection control, cleanliness and related activities, ensuring that procedures are followed and weaknesses / training needs are identified, escalating issues as appropriate  Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across clinical and patient processMaking effective use of training to update knowledge and skillsMonitoring practice facilities and equipment in relation to infection control, ensuring that provision of hand cleansing facilities, wipes etc are sufficient to ensure a good clinical working environment. Lack of facilities to be escalated as appropriate.Using appropriate infection control procedures, maintaining work areas in a tidy, clean and sterile, and safe way, free from hazards.
