Position Overview To provide effective and efficient administration support to the clinical staff within the Medical Centre in accordance with the SRD, DPHC and extant authority regulations.ResponsibilitiesBooking/Cancellation of clinic Appointments. Arrive, DNA of patients. Creation of daily clinics on medical centre DMICP IT system in conjunction with Practice Manager.Preparation of paperwork for medicals prior to appointment with GP or Nurse.Copy & record sickness certificates for onward forwarding to JSAU when covering Reception.Registration of all new arrivals and departures onto the medical centre IT system.Raise transport requests for patient’s medical appointments.Process Subject Access Requests (SAR) Typing of referrals/ letters to Military and Civilian Hospitals.Scan all relevant medical documentation and input on to DMICP IT system.Inform patients of their hospital appointments.Send hospital appointment letters with an accompanying confirmation letter to the patients.Phone hospitals to chase up hospital appointments, x-ray reports, etc.Typing of any other reports or letters as requested by the GP.Provide general administrative support to include dealing with incoming and outgoing mail and faxes to relevant Medical Centres and external medical facilities, liaising with medical staff regarding appointments and other matters, photocopying to include paperwork on patient discharge and dealing with patients in an appropriate manner face-to-face, by telephone or by correspondence. Administer the work flow of the MoD Corsham Primary Healthcare Centre hospital appointment system. NHS e-Referral System.Act as the administrative link between Primary Care Rehabilitation Facility (PCRF) and the Primary Healthcare Centre.Use in-house IT systems/MS Office applications to update and generate correspondence and database information to support the provision of detailed statistics for various internal and external organisations.Input of data and maintenance of statistical data.Answer telephones and deal with enquiries to include making appointments ensuring medicals, immunisations and hearing tests are up to date.Filing of medical documents and other medical facility correspondence. Attend and contribute to relevant Team Meetings.Ensure compliance of all QSHE regulations/guidelines.Complete training as required and provide on the job training to staff as required.Carry out such duties as may be reasonably required from time to time.May be required to cross train and cover administration in other areas within soft services.
