Branch Manager    Reporting to Post Holder:? ?Maintenance Person, Administration Volunteers, Maintenance and Driving Volunteers and Placement Volunteers   Overall Purpose of the JobTo provide administrative support to ensure the smooth operation of the Branch and the achievement of its aims and objectives. This includes responsibilities relating to health and safety, income generation, procurement and facilities.  To coordinate the recruitment, induction and development of the Branch’s volunteers.   The key duties of the post are as follows:    A. Administration    ? General office and administration support to the Branch including providing administrative support for Branch animal welfare and income generation activities.? Supervising the Branch’s administration volunteers. ? Administration of Branch records and databases both electronic and paper, including administering the archiving of records and arranging appropriate disposal of confidential waste. ? Dealing with incoming telephone calls, emails and correspondence. ? Completion of statistical reports and returns and preparation of reports for invoicing purposes.   B. Volunteers    ? Reviewing and developing volunteer policies and procedures in conjunction with Branch management and trustees. ? Generating appropriate volunteering opportunities and role descriptions based on the needs of the Branch. ? Raising staff awareness of the role and function of volunteers. ? Promoting volunteering (internally and externally) through recruitment and publicity strategies and campaigns. ? Liaising with third party organisations such as colleges, job centres and training companies regarding the provision of placement volunteers and any associated matters. ? Recruiting and inducting volunteers and ensuring they are appropriately matched and trained for a position in accordance with Branch policies and procedures.  ? Monitoring, supporting, motivating volunteers and dealing with any volunteer-related issues in conjunction with the appropriate manager. ? Celebrating volunteering by organising celebration events and volunteer recognition schemes. ? Communicating with volunteers through face-to-face, telephone and email contact to ensure that volunteers are updated about Branch activities and policies, thanked for their contribution and provided with support, advice and information as needed. ? Co-ordinating volunteer resource for Branch fundraising events and activities. ? Keeping up to date with legislation and policy related to volunteering and making any necessary modifications to accommodate changes. ? Maintaining volunteer databases and records, completing volunteer exit interviews and supplying volunteer references.  C. Fundraising and Income Generation ? Coordination of the Branch’s programme of community fundraising events and collections including tasks such as making booking arrangements, organising appropriate volunteer cover, advertising for stallholders, organising third party stallholders and Branch stalls, organising fundraising merchandise and fundraising kits/equipment, monitoring stock control, attending events as and when deemed necessary or beneficial. ? To oversee and develop the Branch’s network of collection boxes and food collection bins. ? Co-ordinating the storage and delivery of stock to the Branch’s charity shop(s) and procuring any necessary equipment and materials for the shop(s). ? Co-ordinating the generation of donated stock from door-to-door bag dropping and house collections. ? To administer the Branch’s charity shop Facebook page and carry out other social media and website administration as required.     D. Health and Safety ? Implementation of Health and Safety policies for the Branch. ? Completion and review of risk assessments in conjunction with the Branch management and maintenance of Health and Safety records. ? Organising Health and Safety training for the Branch. ? Maintenance of a Branch Health and Safety Calendar and organising appropriate testing, servicing and inspection of Branch vehicles, equipment and gas/electrical appliances and/or installations.? Supervising the Fire Warden and ensuring fire safety procedures and drills are followed.  E. Facilities ? Overseeing the general maintenance and upkeep of the Branch’s buildings, estate and infrastructure, including repairs and claims. ? Line management of the Maintenance Person and their programme of work. ? Dealing with contractors and service providers. ? Helping to deal with inspections and compliance with any relevant legislation (e.g. waste disposal). ? Supervising the Branch’s maintenance and driving volunteers.  F. Procurement ? Dealing with and reviewing suppliers? Ordering materials, supplies and equipment.? Checking invoices and dealing with queries.  G. Human Resources ? Administering the Branch’s training provision. ? Assisting the Branch Manager with Human Resources administration and assisting with recruitment.? Completion of staff rotas and co-ordination of leave requests and annual leave records. ? Assisting with the production of Branch payroll records.  H. Financial ? Cash reconciliation and completion of banking records (including petty cash) in conjunction with the Reception Supervisor. ? Assisting with financial records and budget management. ? Assisting with the preparation of sales invoices.  I. Other duties and responsibilities ? The post holder will be expected to provide occasional cover if needed for reception and retail.  ? All employees are expected to exercise value for money and use resources wisely. ? The post holder will be expected to travel with the local area and further if required. ? The post holder will be expected to attend training courses where necessary and there may be occasional overnight stays required. ? The post will involve occasional weekend, evening and Public Holiday working and may involve occasional overtime. ? The Branch operates an equal opportunities policy and values diversity.
