Holy Cross Church, Billesley Common Parish Administrator JOB DESCRIPTION Working Hours:12 hours per weekNormal working hours are over 3 days, Tuesday, Wednesday, Thursday 9.30am – 13.00pm but some flexibility will be required to include all working hours. Rate of pay:£10.00 per hour Reporting to:The Parish Priest or Churchwardens (during a vacancy) The role of the Parish Administrator is as follows: The role holder will create an efficient and well managed Parish Office and Church Centre that are welcoming to our visitors and regular users. By providing administrative support, the role holder will enable the Church to move forward in mission. 1. Supporting Church Acts of Worship•         Prepare and print weekly notice sheet.•         Prepare and print or photocopy any other material required for the weekly service. 2. Record Keeping•         Manage bookings and the Church Centre diary•         Keep church records, input and extract data from the record databases in keeping with data protection requirements.•         Complete the Parish Returns.•         Maintain any other records required for the Parish Office 3. Communication•         Handle queries for the Church and the Church Centre via phone, e-mail or face to face enquirers.•         To produce communication and marketing materials to promote the Church Centre and church activities.•         Maintain the website and social media communications•         Ensure that all communication material supports the vision of the church and embodies our Christian values. 4. Finance•         In liaison with the Treasurer, produce invoices for hire of the Church Centre and follow-up for payments•         Provide monthly payroll information to the Diocesan Payroll Bureau5. Church Centre Hospitality•         Open and close the Church Centre•         Provide hospitality and welcome for visitors to the Church Centre•         Help with room set-up and pack-downs if needed 6. Other duties•         Provide administrative support, as time allows, for church and community activities.•         Assist in making fundraising applications The Parish Administrator,from time to time, will also carry out any reasonable duties at the request of the Parish Priest that are appropriate for the position of Parish Administrator.   PERSON SPECIFICATION Essential •         Good interpersonal skills and the confidence to welcome visitors, deal in a friendly and sensitive way with enquiries. •         Able to build great working relationships with a wide range of people•         Excellent administrative and organisation skills. •         A good knowledge of Microsoft Word, Excel, Powerpoint and Outlook•         Excellent accuracy/attention to detail•         Flexibility to cope with changing demands, manage priorities, using personal initiative and operating with limited supervision•         Excellent customer service•         Initiative to work without close supervision•         Take a pride in the Centre and a desire for users to have the best possible experience•         Appreciation for, and willingness to work within, Christian ethos and values•         Willing to be involved in church and community activities•         Willing to be flexible with hours if required Desirable •         Knowledge and experience of church processes  View full job description
