Position within the Company Position: AdministratorEmployer: Community Transport (CT Furniture)Responsible to: Furniture SupervisorPlace of work: CT Furniture Sandwell with occasional travel to other sites Hours of Work: 15 hours per weekAppointment: PermanentSalary: £7.54 per hourDisclosure: N/APurpose of the RoleTo deliver a timely, efficient and effective administration service that meets the needs of the business in the furniture department and the requirements of the Charity’s National Office. To work as a key member of the team to ensure that the customer receives first class service in terms of queries and requests by phone , social media and when in person whilst visiting the unit. Play a key role in collecting and entering data on CTX and Midas with regard vehicle safety sheets, Gift aid, Answering the phone to book in collections and answer any queries. To work with the unit supervisor to create a speedy service and create a great customer experience. Principal Accountabilities 1 To be responsible to your Supervisor for all aspects of administration to include handling of telephone calls, incoming and outgoing emails, purchase orders, receipts and reports.2 To ensure that weekly mailings, cash reconciliations are processed efficiently and effectively in line with timescales and procedures set down by the Charity’s finance and HR teams 3 To deal politely, sympathetically and promptly with a diverse range of customers, suppliers, colleagues and service partners, taking care to ensure the highest possible standards of customer service at all times.4 To assist your Supervisor with the recruitment of Volunteers and trainees on placement, working to the policies and procedures set down by the Charity’s HR team.5 To support the Supervisor in advertising and marketing campaigns, events, publications and leaflets. Active use of Facebook, Gumtree and any other social media site that we can advertise on to gain sales or donations.6 Tracking and dealing with customers from the social media sites. 7 To be flexible in your approach to work so as to ensure that urgent priorities and deadlines are met.8 Helping the Supervisor to cash the tills off at the end of the day and to make sure they are correct. 9 To compile the daily till sheets ready for the weekly mailings to be completed a long side the Unit Supervisor. 10 To demonstrate responsibility for promoting and championing all aspects of equal opportunities, valuing and managing diversity in all aspect of your work. 11 To be responsible for complying with Community Transport’s Health and Safety policy and the rules and policies set out in the Employee Handbook.
