This is a Fixed Term full time role ending 29.3.18, working 37.5 hours per week. On offer is a competitive salary up to £23,000, depending on skills and experience and benefits packageThe working days will be:Mon - Fri -  8:30 am - 5 pmGeneral Overview:The experienced Regional Project Administrator (RPA) is required to support the NORTH region. Based within the regional office in Glasgow, reporting to the Assistant Business Manager. The successful candidate will provide a ‘hands on’ comprehensive administrative function to the regional project delivery team, completing a range of general and project specific administrative tasks to facilitate an effective and efficient regional project delivery platform.All applicants must be able to be vetted before appointment. This is part of the recruitment process.To be successful in this role you must provide the following:Minimum of 3 year history of employment (including information which can be verified for any gaps)If you do not have 3 years previous employment, a professional reference must be provided (obtained from a Medical Practitioner, Officer of the Armed Forces, Teacher, Lecturer, Lawyer, Bank Manager, Civil Servant etc)Proof of identity & eligibility to work in the UK which must include Photographic I.D - Passport or Driving License.  - Passport and all relevant work permits - NI Number information / proof and FULL Birth certificate (not the short version)If no legal photographic documentation is owned then a passport photo which has been signed and verified by any of the above professionals will be required. This needs to show their title, signature and contact details.3 proofs of address from within the last 3 months (i.e. Driving License, council tax bill, bank statement, utilities bills).Any required qualifications or driving licence if required for the role.Main Responsibilities/Duties Include:Assist the regional project delivery team with their administrative workload in order to maximise project delivery time for the Project Managers.Provide a comprehensive and proactive dairy management function to the regional projects team (inc monthly team meetings and issuing associated minutes), loan working obligations and all travel arrangements. Assist in managing the company Performance Management Systems (PMS) position, supporting the regional delivery team in limiting exposure through compliance with key administrative tasks.  Maintain records and electronic filing systems (EPF/Clarity) to ensure the integrity of all service related data and audit trails, and the prompt and accurate retrieval of informationManaging data capture to ensure PMS position is visible and promptly defendable.  Generate Disruptive Notices report monthly and weekly ERP reportEnsure the accuracy of key data systems and the subsequent formulation of key management reports for both internal and external purposes.  Monitor Prompt payment mailbox and manage tracker to provide management reports on amount due/received/loss with report on reasonRaise projects in clarity and entering initial project data, as part of initiation.Book access requirements for security on projects (via central helpdesk)Manage information storage to ensure the availability of all key documents, to allow for a prompt administrator led collated billing submission. Liaise with PMs to assist with project admin in connection with billing and project closedown. Run reports in coupa on PO/invoice analysisBilling – generate self certification emails for client approvalBilling – request client Purchase Orders as a project develops to ensure ENGIE has sufficient fee coverage at all stages of a project, working with the project manager.Overheads – monitor overhead expenditure working with the ABM and issue payment approval request emails to regional projects director for approvalRaising of project POs and amending / receipting in Coupa.Assist with new supplier registrations in Coupa, liaising with central procurement team.Adopt, Lead and develop (when/if required) on key project delivery platforms and act a ‘super user’, interfacing with internal / external support.  (Innate, Clarity, Coupa, SAP).Organise the regional project delivery teams loan working requirements, sick leave logging and PPEPlan, diary and coordinate the Regional Project Directors team meeting requirements via shared outlook calendars.Coordinate and book as required the regional project delivery teams travel and hotel arrangements via the agreed company online booking agent. Organise stationary orders as required. Collect, save, upload and distribute to Project Managers all Client related Project Instructions.Collect, save, upload (to SAP) and distribute to Project Managers all Client Purchase Orders.Update Project Management Software (Clarity) as required to ensure accuracy each week (inc statuses / B2 / B3/B3F) and for monthly reporting. Raise projects initially as requested by PMs in Clarity and SAPProvide cover for ABM for periods of leave or extended absences from office.Prepare, run and distribute Project Management Software (Clarity) reports to the regional project delivery teams as required.  Work closely with the Assistant Business Manager and wider Commercial Team to ensure compliance with the billing process each month to  facilitate robust cashflow management against billing targetsFor more information about ENGIE please visit:  Qualifications or Required Experience:Must have significant administrate experience, preferably in a large or complex organisation.   Sound knowledge of systems, procedures and an understanding of QA and Performance Management Systems. Experience in the initiation of new processes and the implementation of best practice working solutions.Competent user of Microsoft office packages, preferably including MS Visio and MS Project.  Competent user of project management software ( relevant experience is beneficial in Clarity, Coupa, Innate or SAP)Ideally an understanding of a construction projects lifecycle from inception through to completion.  Experience in the collation and preparation of management reporting.Personal Attributes:Confident communicator with a talent for organisation.   Must be flexible with a pro-active approach, both personally and in influencing others.Must be customer focused with a professional manner with the ability to work autonomously and without constant supervision.Must be an enthusiastic, conscientious and reliable team player with effective communication skills.Able to multi task and work across a large number of projects at any one time to meet tight deadlines in a proactive, systematic and logical approach. Must be resilient to working under pressure and can remain calm and clear minded.Strong organisation skills and comfortable with challenge.Friendly hands on approach with a ‘can do’ attitudeFor this role you must have evidence of right to work in the UK.
